Billing & Insurance at Rally Point

When it comes to starting therapy, finances are a big consideration for most people. At Rally Point, we believe in making sure you understand your unique financial situation and what you can expect to pay for sessions before you begin therapy.

Because there are a number of factors that affect what you can expect to pay for sessions, our admin team works with every client upfront to make sure you are informed about what you will pay for therapy before your first session.

Key Information about Billing:

  • Every billing situation is unique, so our team looks at every client’s situation individually to determine the best billing setup

  • If you’re using insurance, factors like deductibles and co-payments affect what you pay for sessions

  • Our team will reach out to ask questions and let you know what you can expect to pay for sessions ahead of your first appointment

Frequently Asked Questions about Billing & Insurance:

  • At Rally Point - our admin team works with every client upfront to make sure you are informed about what you will pay for therapy before your first session.

If you have insurance, the main factors that determine what you pay for sessions are whether or not your insurance is in-network, your co-pay (if you have one), and whether or not you have met your deductible. Our team will work with you to verify coverage and help you understand how your specific insurance works ahead of your first session.

If you are paying out of pocket for therapy, our practice functions on a sliding scale for all clients - with rates that are customized based on an estimate of your annual household income and location.

In addition to those options, some employers, churches, or social services may have a program that will cover a portion of your fees. If that’s the case, we’re happy to work with you to figure out the specifics of your situation.

  • Rally Point is in-network BlueCross/BlueShield PPO plans (from any state) and Aetna PPO plans (not Aetna BetterHealth).

If your plan is in-network, our team will work with your insurance company to verify your benefits before your first session and submit claims for counseling sessions. Clients are responsible for their portion at the time of service.

Mental/behavioral health benefits are often different from normal health benefits. If you are evaluating your health insurance benefits, please check your coverage carefully by asking the following questions:

    • Do I have mental health insurance benefits?

    • Does my plan have a co-pay rate for outpatient in-office mental health visits? (counseling sessions)

    • What is my deductible and has it been met?

    • What portion of sessions will the network cover after my deductible has been met?

    • Is there any limit on sessions per day or per year that my health insurance covers?

  • About 50% of Rally Point clients are not in-network with insurance, or choose to pay out of pocket. If Rally Point is not in network with your insurance, you have two options regarding session billing:

Option 1: Pay out of pocket using our sliding scale (most common) (see details under the out-of-pocket billing section)

Option 2: Pay our full practice rate and submit receipts to your insurance network for reimbursement (this is called superbilling).

The amount you can be reimbursed is specific to your insurance network and we highly recommend speaking with them directly to determine the details of your plan. We are happy to create statements (called superbills) for you to submit toward your out-of-network benefits and will complete forms required by your insurance company to facilitate reimbursement for counseling services. Joining new insurance networks is a large commitment for many practices - and Rally Point considers carefully which insurance networks we choose to partner with. We base our decisions about networks on factors like the amount of staff time required to process claims, number of sessions a company is willing to reimburse, and the number of clients in our practice who are covered by benefits.

  • If you are paying out of pocket for sessions, our practice functions on a sliding scale for all clients - with rates that are customized based on an estimate of your annual household income and location.

Using a sliding scale for all clients allows us to make therapy more accessible for all people in the communities we serve.

Before your first session, our team will give you a customized rate based on your specific situation.

  • Time for Therapists at Rally Point is in high demand - and often schedules are arranged to maximize availability and reduce waitlist times.

You are financially responsible for the time you have reserved with a counselor. This is necessary because a time commitment is made to you and is held exclusively for you.

If you need to cancel a session, you must do so at least 24 hours in advance of the session start time, or you will be charged a late cancellation fee.

Fees for late cancellations and no-shows are not billable to insurance and must be resolved before normal sessions resume.

  • Rally Point is a values-driven practice that believes in making therapy accessible.

As a practice, we often balance factors like average household income, insurance, location, and market competition in determining overall practice rates.

On a client level, we pay close attention to the factors that affect each client’s situation - and our team focuses on finding the best billing setup possible based on those factors. Our goal is to help every client get the best rate possible for their sessions.

  • We understand. Billing situations can be complicated. Our team works with a variety of billing factors every day - and is happy to help you figure out questions related to your specific situation.
